Rent that invoices itself, and reconciles in one click.

In both our markets rent still moves by bank transfer and the proof still arrives as a photograph. QaceHomes does not pretend otherwise. It raises the invoices, collects every proof in one queue, and turns matching a payment to an invoice into a single click instead of an afternoon with a bank statement and a spreadsheet.

The cycle

A month, end to end.

Five moments. Four of them happen without anyone opening the app.

  1. The invoices raise themselves

    A worker sweeps every active lease each morning and issues what is due. Invoices number INV-2026-000001 — scoped to the year, gap-free, and carrying your own prefix if you want one.

  2. Reminders, overdue marking, late fees

    Separate scheduled jobs, each doing exactly one thing. A late fee is a fixed amount or a percentage of the outstanding balance, applied only to an invoice that is genuinely overdue, and only if you switched it on.

  3. The tenant pays and uploads the proof

    The bank details on the invoice come from the account you assigned — property first, then portfolio, then organisation — and are snapshotted onto the document, so a receipt reprinted next year still shows the account that was actually quoted.

  4. It lands in a queue, not an inbox

    Every unmatched proof sits in one list, awaiting allocation. You match it to an invoice and the allocation runs inside a locked transaction — two people clicking Match at the same moment cannot allocate the same payment twice.

  5. On the first, the owner statement assembles

    For the month that just closed: rent collected, other income, maintenance spend, management fee, other expenses, net payout. Rendered as a PDF and emailed. Regenerate it and the old one is superseded rather than overwritten.

The arithmetic nobody wants to redo.

Partial payments, overpayments, split allocations, reversals — the everyday mess of collecting rent from real people.

  • Overpay and it becomes credit, not a mystery

    A payment larger than the invoice leaves an available credit on the tenant’s account, which you apply to the next invoice in a click. Underpay and the invoice sits at Partial with the remainder still visible on it.

  • One transfer across several invoices

    Allocate a single payment across multiple invoices with the amounts you choose. Reverse the whole thing if the bank does, and every invoice it touched goes back to where it was.

  • Numbering you can defend

    Invoice and payment numbers are issued under a row lock, scoped to the year and zero-padded. No gaps, no duplicates, and no two people both getting INV-2026-000118 because they clicked at the same second.

  • Naira and Rand, properly

    Currency and locale are organisation-level settings, and every amount, date and time on every screen is formatted through them — not a dollar template with a symbol swapped in at the last moment.

  • The exception queue is the point

    The proofs that do not obviously belong to anything are the ones that cost you a day at month end. They get their own list, their own reminder job when they go stale, and a match that refuses to run without a proof document attached.

  • Documents at both ends

    Every invoice renders to a PDF; every completed payment produces a receipt. Neither is assembled by hand, and neither depends on someone having the right spreadsheet open.

What finance does not do.

The three things a competitor’s brochure would let you assume.

  • There is no bank feed. QaceHomes does not connect to your bank, import statements, or match payments on its own. What it does is put every proof of payment in one queue and make the match a single click — a smaller claim, and a true one.
  • There is no card or gateway payment. No Paystack, no Flutterwave, no PayFast. Rent arrives by transfer, the way it does today.
  • One organisation, one currency. There is no conversion, no FX, and no invoice denominated in two currencies at once.
