Leasing

From first enquiry to keys in hand.

A tenancy is a chain of small commitments — a viewing kept, a document supplied, a deposit cleared, a signature obtained. QaceHomes holds the whole chain as one record and refuses to activate the lease until the links are actually there.

The sequence

Six steps, one record.

Nothing is re-keyed between them. Each step writes into the same file the next one reads.

  1. An enquiry arrives

    Someone finds a vacancy on your public site and asks about it. It becomes a prospect at Inquiry, deduplicated against anyone who has already written to you from that email address or phone number, with the move-in timeframe they gave you already on the record.

  2. They book a viewing

    From a grid of real slots — your weekly hours, your blackout dates, a minimum lead time, a booking horizon. They choose a preferred slot and up to two backups, and every one is checked as genuinely open. It arrives as a request; the confirmation email goes out when you confirm it, not before.

  3. The application comes in with its documents

    Government ID, payslip, bank statement, reference letter, guarantor — up to ten files, ten megabytes each, PDF or image. It gets a number like APP-2026-0147, and the applicant can follow its progress from their own link instead of emailing you to ask.

  4. A person reviews it

    You move it to Under review, ask for anything missing with More info needed, and approve or decline against a recorded reason. The judgement is yours. What QaceHomes keeps is the file, the trail, and the applicant informed.

  5. The agreement is drafted and signed

    Draft from a template, and twenty merge fields fill in the parties, the property, the rent and the term. Send it to as many as four roles — tenant, guarantor, landlord, witness — in order, with one live link at a time. Or record a paper signing instead. Both end in the same place.

  6. The lease activates, or it does not

    Four gates: agreement signed, move-in inspection completed, first payment received, ID verified. Three of them an administrator can waive, with the waiver on the record. The signature is the one that cannot be waived.

The detail

What holds it together.

The parts of leasing that only matter when something goes wrong — which is the only time they matter at all.

  • Templates that start in the right jurisdiction

    A Nigerian and a South African starting template ship with the product, written against local tenancy law rather than an American lease with the nouns swapped. Edit them freely; every version is retained. They are starting points, not legal advice — your counsel still reads them.

  • One live signing link at a time

    Recipients sign in order. The second recipient’s link does not exist until the first has signed, so an agreement cannot be countersigned before it is signed. Links last seven days by default, and you can reissue one without restarting the cohort.

  • Every signature carries its own evidence

    The signer’s IP address and browser, the moment they opened it, the moment they signed, and a SHA-256 hash of the exact document they were shown — plus the template version, so a lease opened in five years renders as it was signed.

  • A decline stops the whole cohort

    If one party declines, the outstanding links are cancelled rather than left live for someone to sign into a dead agreement. You get the reason they gave.

  • Paper is a first-class path

    Not every landlord is going to sign on a phone, and pretending otherwise just moves the work into email. Record a manual upload or an externally signed PDF and the lease clears the same activation gate.

  • Leases that know what happens next

    Draft, scheduled, active, holdover, ended. A tenancy running past its end date either rolls into holdover or ends on expiry, by the policy you set — it does not sit there as an active lease with a date in the past.

What leasing does not do.

Stated here rather than discovered on the call.

  • There is no automated screening. QaceHomes collects the documents and keeps the trail; a person reads them and decides. We do not run credit checks, score affordability, or chase references for you.
  • There is no application fee collection. If you charge one, you take it the way you take rent.
  • Guarantors are recorded, not verified. Name, ID, employer, relationship — held against the application, not checked against anything.
